Job Description:

This role is crucial in ensuring the smooth operation (24/7 operations) of a facility and creating a safe, efficient, and comfortable environment for all employees and visitors. He/She should be proactive, highly organized, and dedicated to maintaining a high standard of service and safety.

He/She is responsible for overseeing the daily operations and maintenance of facilities. This role involves ensuring the safety, functionality, and efficiency of building systems and services, while maintaining compliance with safety regulations and environmental standards. He/She will be tasked with managing vendor relationships, supervising maintenance staff, coordinating repairs and upgrades, and ensuring the overall cleanliness and upkeep of the facility.

Key Responsibilities:

Facility Maintenance and Operations:

  • Oversee and manage the day-to-day operations of the facility that runs 24/7 (shifting schedule), including maintenance, repair, and housekeeping services.
  • Coordinates RTO requirements for WFH and RTO employees.
  • Coordinates routine and emergency maintenance activities, ensuring facilities are well-maintained and operational.
  • Ensure the proper functioning of building systems such as HVAC, plumbing, electrical, lighting, and safety systems.

Vendor and Supplier Management:

  • Manage relationships with external vendors and service providers (cleaning, landscaping, maintenance, etc.).
  • Oversee the inventory of materials and services.

Health, Safety, and Compliance:

  • Ensure all safety protocols and procedures are followed, and that the facility is compliant with local building codes, regulations, and environmental standards.
  • Conduct regular safety audits and risk assessments to identify hazards and implement corrective actions.

Reporting and Documentation:

  • Maintain accurate records of all maintenance activities, repairs, and inspections.
  • Prepare regular reports on the condition of the facility, site administration, maintenance activities.
  • Ensure all maintenance and operational documentation is up-to-date and in compliance with company policies.

Team Leadership:

  • Lead and monitor the work of external facility staff (janitors, maintenance personnel, etc.), providing guidance and support as needed. (Shifting environment)

Qualifications:

  • Bachelor's degree in engineering, Facility Management, or related field (or equivalent work experience).
  • Experience in facility management or a similar role is an advantage
  • Knowledge of building systems and maintenance, including HVAC, electrical, plumbing, and safety systems.
  • Strong understanding of health, safety, and environmental regulations. Preferably, Safety Officer 2 and/or Pollution Control Officer certified.
  • Experience with vendor management and contract negotiation.
  • Proficiency in facility management software and Microsoft Office Suite.
  • Strong organizational, problem-solving, and multitasking skills.
  • Excellent communication and interpersonal skills.
