Job Description:

JOB SUMMARY

We are seeking a professional and friendly Receptionist to join our team at the UPS EMEAI Regional headquarters. The ideal candidate will be the first point of contact for visitors and callers, providing excellent customer service and ensuring the smooth operation of the front desk. In addition to greeting and directing guests, the Receptionist will perform a variety of clerical tasks to support the daily operations of the office.

Key Responsibilities:

  • Front Desk Management:

    • Greet and welcome visitors professionally. 

    • Manage the front desk by answering and directing incoming calls promptly and courteously.

    • Always maintain a tidy and presentable reception area.

  • Visitor Coordination:

    • Register visitors and issue visitor badges.

    • Inform staff of visitor arrivals and direct visitors to appropriate meeting rooms.

    • Ensure all visitors comply with security protocols.

  • Administrative Support:

    • Assist with scheduling and coordinating business meeting and events.

    • Prepare and distribute correspondence, memos, and forms.

    • Manage office supplies inventory and place orders when necessary.

    • Sort and distribute incoming mail and handle outgoing mail.

    • Support the administrative team with various projects and tasks as needed.

    • Support with HR & Automotive tasks.

  • Customer Service:

    • Provide information and assistance to employees, clients, and visitors in a courteous and helpful manner.

    • Address and resolve any customer inquiries or issues efficiently.

    • Back-up of the Executive Assistant for the regional President & Vice-Presidents

  • Office Coordination:

    • Coordinate with building management on maintenance and security issues.

    • Handle efficiently the company cars parking.

    • Maintain the office calendar and conference room schedules.

Qualifications:

  • Proven experience as a receptionist, front office representative, or similar role.

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

  • Strong organizational and multitasking abilities.

  • Fluency in English, French and Dutch.

  • Excellent verbal and written communication skills.

  • Professional attitude and flexibility with regards to the duties.

  • Ability to be resourceful, work independently and proactive in dealing with issues that may arise.

  • Strong customer service orientation and good team communication.

Work schedule:

  • In-person working hours will be from 08:00 a.m. until 3:00 p.m.
