Job Description:

We are seeking a highly skilled Executive Support Specialist to provide dedicated administrative support to the Senior Vice President (SVP) of Global Operations Technology Enterprise Data & Analytics and Gen AI. In this role, you will primarily assist the SVP with managing their dynamic calendar, coordinating travel, organizing meetings and events, and handling confidential correspondence. You’ll provide comprehensive support to the Senior Vice President (SVP) in managing commitments and overseeing the duties of Board Committee organizations, ensuring timely execution of responsibilities and effective communication across all levels. In addition, you will own managing the SVP’s digital presence and social media efforts, while maintaining high-level executive assistance to ensure smooth operations within the business unit. This position requires the ability to thrive in a fast-paced environment, maintain professionalism under pressure, and anticipate the needs of the SVP. The role requires working four days a week in the office with flexibility for one remote day.

Responsibilities

  • Manage the SVP's complex calendar, prioritize appointments, and ensure all scheduling needs are met.

  • Coordinate domestic and international travel arrangements, including flights, accommodations, and meeting logistics.

  • Act as the primary point of contact for internal and external stakeholders, ensuring smooth communication and timely responses.

  • Prepare and submit accurate expense reports, resolve payment issues, and assist with confidential correspondence, business unit reporting, and documentation.

  • Organize and coordinate high-level meetings, events, and presentations, ensuring all logistics are handled seamlessly.

  • Oversee the SVP's business and personal contacts, maintain organized records, and manage day-to-day office operations.

  • Prioritize incoming tasks, follow-up on pending issues, and ensure timely execution of responsibilities.

  • Maintain office supplies and manage hospitality needs, ensuring the SVP's workspace is always prepared for business.

  • Assist in creating and scheduling social media content to support the SVP’s brand and business unit goals.

  • Monitor engagement and collaborate with the external partnerships to ensure overall business objectives are aligned.

Qualifications

  • Minimum of 10 years of experience supporting senior executives, preferably at the SVP or C-suite level.

  • Bachelor’s degree in Business Administration, Communications, or a related field strongly preferred

  • Strong verbal and written communication skills with the ability to interact effectively with internal teams and external clients.

  • Proficiency with the MS Office suite and calendar management tools.

  • Strong organizational, time-management, and multitasking abilities.

  • Ability to work independently, anticipate the needs of the SVP, and resolve issues proactively.

  • Impeccable attention to detail and the ability to handle sensitive and confidential information with discretion.

  • This position is based in Atlanta, GA.

  • The position requires the ability to work 4 days a week in the office, with flexibility for one remote day.
